Handling of personal information

In connection with testing of new and / or existing products at Woods Copenhagen ApS (WCPH), we’ll process your personal information as stated in this policy. Lyne & Lindberg ApS is the data controller regarding the personal information that is collected and processed when applying to become a test person.

 

For this process we use Typeform. The purpose of Typeform is to facilitate the application process for you and WCPH, as well as to receive and store your information in a secure manner.

 

Processing of personal data

WCPH processes your information, including personal information, which you have filled out in the form to become a test person. The information is then used as part of the assessment of your possibility to become a test person for relevant products from WCPH. The legal basis for the processing of your personal data is your and WCPH's legitimate interest, cf. Article 6, (1), litra f in the General Data Protection Regulation. The legitimate interests pursued here are WCPH’s interest in improving and creating results for their products, while it to you is the interest in trying out the products free of charge.

 

Should you be selected to test one of WCPH's products, WCPH needs additional information in order to send the product to you. WCPH will collect the information once you have approved the terms of the test and guidelines for use of the product. The legal basis for the processing of your personal data is your legitimate interest in receiving the product so that you can test it, cf. Article 6 (1) of the Data Protection Regulation. 1, letter f.

 

As part of the assessment of whether you can be a match for WCPH's products, WCPH asks you to indicate any medication you are taking in relation to your skin. As any medication (directed at the skin) may interfere with the outcome of WCPH's products, this sensitive information must necessarily be included in the assessment of test results. The processing therefore rests on your and WCPH's legitimate interests in the best possible results of the test process, cf. Article 6, (1), litra f of the General Data Protection Regulation. WCPH does not process this sensitive data until you have given your explicit consent, in accordance with Article 9, (2), litra a of the General Data Protection Regulation.

 

Storage and deletion

Your entered information is stored for 6 months starting from the time you have completed and sent the application to become a test person. If you are offered to be a test person for one of WCPH's products, your information will continue to be stored for possible testing of another different product. If you still wish to receive an offer to be a test person for WCPH's products after the period has expired, we’ll ask you to fill in a new form, as your information will be deleted automatically after 6 months.

 

If you have not been contacted 6 months after you have filled in and submitted the form regarding the test run of a product from WCPH, your information will be deleted automatically.

 

Recipients

For WCPH to be able to obtain, assess and process your application to become a test person, as well as possibly subsequently be able to send the product to you, it is necessary for WCPH to share your information with subcontractors. All subcontractors are covered by data processor agreements to ensure data protection in accordance with the standard required by applicable data protection legislation. For subcontractors located in third countries, such transfer will be protected by the EU Commission's standard provisions.

 

In order to be able to obtain, assess and process your application, as well as send the product to you, and subsequently to be able to analyze the result of the test process, we use the following categories of subcontractors:

  • Group-affiliated companies
  • IT providers, including Typeform
  • Courier
  • Payment and shipping systems

 

 

Your rights

You have the right to access the personal data that we process about you, however, with certain statutory exceptions. You also have the right to object to the collection and further processing of your personal information. Furthermore, you have the right to request that the processing of your personal data is restricted, that your personal data be corrected if necessary, or that your personal data is deleted in certain cases.

 

You can also request an overview of your personal information, in special circumstances. This is provided in a well-structured, common, and machine-readable format (data portability), and ask WCPH to transfer such information to another data controller.

 

It is at any time possible for you to revoke the consent you have given as part of the application as a test person. Withdrawal of your consent will influence the future processing of your personal data.
